Processing of Personal Data and Purpose

We process personal data about you when you contact us via email, letter, website, social media, and in connection with membership, participation in events, purchases, or fulfillment of contracts and agreements. In addition, we process personal data about you if you are an applicant for vacant positions, employed, an intern, a member of the representatives or the board.

The personal data you submit to us, digitally or in paper form, is processed by our staff according to purpose and relevance. Your personal data is thus processed and stored confidentially and securely, and only relevant employees have access to your personal data and any files. We delete your personal data when it is no longer necessary to process it.

As a rule, we only process ordinary personal data, except for employees and members of the board where we also process confidential information (CPR number) and, if relevant, sensitive information in the form of possible health declarations.

Applicants

When you send your application to us, we process your information in connection with the recruitment process.

If your application does not lead to employment with us, we delete the personal data about you no later than 6 months after.

The legal basis will in most cases be the GDPR Article 6.1(f) balancing of interests.

In cases where we ask you to participate in personality and skills tests, or if we wish to obtain references from previous employers, the processing will be based on GDPR Article 6.1(a) consent.

Board Member

In connection with membership of our board, it is mandatory that you provide, in addition to your personal contact details, your CPR number. This information is only disclosed to government authorities, banks, and auditors.

Participant in Events or Networks

For participants or registrants for events and networks, personal data is collected for the purpose of conducting the activities.

Participant lists are in some cases shared with a possible speaker or partner.

Participant lists may be distributed at events. These will include full name and possibly company. If you do not wish to appear on a participant list, this must be communicated to us during registration or immediately thereafter.

At events, photos and videos are sometimes taken for use on our website, social media, or other activities related to our ongoing operations. If you do not wish to have photos/videos taken of you for these purposes, you must inform the photographer/person in charge on site or during your registration. We delete pictures from events after 5 years.

Participant on Business Trips

For participants on business trips organized by us, personal data is collected for the purpose of managing the trips – including a copy of the passport. The information is used for booking tickets, accommodation, and company visits where necessary. The information is deleted immediately after the trip and is not stored thereafter.

Customers, Suppliers, and Other Partners

We use your personal data to fulfill the obligations in our contractual relationship with you/your company. We also use it to improve our services and to target our messages to you and your company, including targeted advertising and content for you/your company.

We store your personal data as long as we have an active contractual relationship with you/your company.

When the contractual relationship has ended, we store your personal data as long as we are obligated to do so by law, including accounting legislation.

The legal basis is GDPR Article 6.1(b)

Disclosure of Personal Data

We do not share your information with third parties, except in the aforementioned cases in connection with the delivery of agreed services. Furthermore, we only disclose personal data to third parties, including public authorities, if you have expressly given consent or if we have a legal obligation to do so.

Consent

In most cases, our processing of your personal data is based on a legal basis other than consent. To the extent that we have obtained your consent for a specific processing of your personal data, you have the right to withdraw your consent at any time. You can do this by contacting us at the contact details provided above in point 1. If you choose to withdraw your consent, it does not affect the legality of our processing of your personal data based on your previous consent up to the time of withdrawal. Therefore, if you withdraw your consent, it will only take effect from that point onward.

Websites, Social Media, and Marketing

In connection with your activity on our websites and pages on social media, your and other users' activity is recorded via "cookies." This information is used to measure traffic and compile statistics on the most visited pages. You are completely anonymous in these statistics.

We also use cookies to optimize marketing; these cookies are only set with your consent. See the status of your consent on our Cookie Policy page.

When you submit information via forms on our website, this is done via a secure connection (SSL encryption). By signing up for our newsletter, you consent to us processing your personal data and sending you newsletters. You can always unsubscribe from the newsletter via the "unsubscribe function" at the bottom of the newsletter.

When you fill out our contact boxes, we collect information about you, e.g., name, address, email address, phone number, completed comments, and other information you have provided.

Deletion of Personal Data

We delete your personal data according to the general limitation rules applicable in Denmark. We continuously delete personal data that is no longer necessary when we have fulfilled our obligations regarding one or more of the purposes for which they were collected.

Your Rights

You are entitled at any time to access the information we process about you, subject to certain legal exceptions. You also have the right to object to the collection and further processing of your personal data. Furthermore, you have the right to have your personal data rectified (corrected), deleted, or blocked according to the applicable rules. You also have the right to receive information about yourself that you have provided to us.
